# From first lead to paid invoice, in one workspace

> Most agencies run the lead-to-cash journey across five disconnected tools. Here is how the whole thing, capture, qualify, deliver, track, and bill, runs as a single connected flow in Zinx OS, with nothing exported and nothing retyped.

By The Zinx OS Team on 2026-06-14.

Ask an agency owner to trace a single client from first contact to paid invoice and watch how many tools they name. The lead lives in a CRM. The project lives in a project manager. The hours live in a time tracker. The bill lives in an invoicing app. Between each one is an export, an import, and a copy-paste, and every one of those seams is where money and time leak out.

Zinx OS collapses that journey into one workspace where each step feeds the next, because they all share the same data. Here is the whole flow.

## 1. Capture the lead

A new prospect lands in your CRM, manually, or automatically from your website form via an inbound webhook. They get a name, contact details, an estimated value, and a place in your pipeline. Nothing about this lead lives in a different app; it is already in the same workspace where the work will happen.

## 2. Qualify through the pipeline

You move the lead through your stages, New, Contacted, Qualified, Won, as a simple drag across the board. The lead's owner is notified on each move, so the deal never stalls in silence. You can filter, search, and see the whole funnel at a glance, with the estimated value rolling up so you know what is actually in play.

## 3. Win it, and convert to a client

When the deal closes, convert the lead to a client in a click. Their details carry over, the original lead is linked for history, and you now have a client record ready to attach projects and invoices to, no re-keying their company name into a second system.

## 4. Spin up the project

Create a project for the engagement and attach it to the client. The project comes with its own kanban board, files, and a chat channel, so the delivery work has a home. Break the work into tasks with priorities, due dates, and assignees, and your team picks up exactly what they own.

## 5. Track the time as you work

Every task has a built-in timer. Start it when you begin, stop it when you are done, or log entries by hand after the fact. Crucially, the timer keeps its real measurement, so the hours you tracked and the hours you bill never quietly drift apart, which is the single most common way agencies under-bill.

## 6. Turn tracked hours into an invoice

When it is time to bill, the invoice pulls from the time you already tracked. Each line item expands into the entries behind it, so the client sees the work, not just a total. Add tax, set terms, and export a branded PDF, or email it in a click. Because the hours, the project, and the client are the same records, there is no reconciliation step, no "wait, which tasks did we bill for?"

## 7. Get paid, and close the loop

Mark the invoice paid when the money lands, and the client's history shows a clean engagement, lead to delivery to payment, in one place. If you want the loop to close itself, an automation can post the paid invoice to a wins channel and draft the next one when the next project finishes.

## Why one workspace beats five tools

The point is not that Zinx OS has a CRM and a project tool and an invoicer. Plenty of suites bundle features. The point is that they are the **same graph**: the lead becomes the client becomes the project becomes the tracked hours becomes the invoice line items. There is no export, no integration to babysit, and no place for the handoff to break. Add automations on top and the flow runs itself between the steps you care about.

That single-graph workflow is the whole reason agencies move off a stack of tools, and it starts free for a single seat. If you want the full tour of how the pieces connect, read the [complete feature guide](/blogs/the-complete-zinx-os-feature-guide); if you want to see the busywork between the steps disappear, read [seven automations every agency should set up](/blogs/7-automations-every-agency-should-set-up). Or just [start free](/sign-in) and run your next client from first lead to paid invoice without leaving the tab.
