The Complete Zinx OS Feature Guide

Most tools do one thing. Zinx OS is built to run a whole service business from a single workspace, so the lead you capture, the project you deliver, the hours you log, and the invoice you send all live in the same place and share the same data. This guide walks through everything Zinx OS does, feature by feature.

The short version: it replaces the stack most agencies stitch together from a project manager, a CRM, a time tracker, an invoicing tool, and a team chat app. Here is the long version.

Workspaces

A workspace is your company's home in Zinx OS. Everything (projects, clients, invoices, chat) belongs to a workspace, and your team are members of it.

• Branding. Upload a logo and set a theme color so the workspace and your client-facing documents carry your identity.
• Timezone. Set the workspace timezone so dates, events, and reminders are consistent for everyone.
• Multiple workspaces. Paid plans are workspace-scoped, so you can run more than one workspace on a single account, each on its own plan.

Projects

Projects are first-class, not folders of tasks. Each project is a real container for the work.

• Types and status. Tag a project as design, development, marketing, consulting, content, internal, or other, and track it through draft, active, on hold, completed, or archived.
• Client and lead links. Attach a project to a CRM client and assign a lead owner from your team.
• Budget and timeline. Set a budget and currency, a start and due date, and useful links.
• Time rollup. Every hour logged against the project's tasks rolls up to the project, ready to become an invoice.

Each project can have its own kanban boards, files, linked invoices, and a linked chat channel, so there is exactly one place a project lives.

Kanban tasks

Project work happens on a kanban board built into each project.

• Cards with substance. Tasks carry a title, description, priority, due date, and one or more assignees.
• Comments and threads. Discuss a task inline with threaded comments, replies, and edits.
• Assignments view. See what is assigned to you across the workspace, so nothing slips.

Time tracking and timesheets

Billable work needs accurate hours, so tracking is built in rather than bolted on.

• A timer in the header. Start a timer against any task from anywhere in the workspace. Pause and resume as you switch contexts.
• Timesheets. Every entry is logged with its task, project, duration, and an optional note, and you can export timesheets to CSV.
• Straight to invoices. Logged time rolls up to the project and can be pulled directly into an invoice, so you bill exactly what you worked.

Invoicing

From tracked work to a paid invoice without leaving the app.

• Generated from time. Create an invoice from a project and pull in billable time entries automatically, with your rate applied.
• Line items and tax. Add line items, set a tax rate, write terms and notes, and choose a currency.
• Branded PDFs. Produce a clean, branded invoice PDF you can download or email to the client.
• Status tracking. Move invoices through draft, sent, paid, and void, and see what is outstanding at a glance.

CRM: leads and clients

The relationship side of the business is a first-class part of the OS, not a spreadsheet.

• Leads and pipeline. Capture leads with a contact, company, source, estimated value, and tags, and move them through a visual pipeline by status.
• Convert to clients. When a lead closes, convert it to a client in one step, carrying the history with it.
• Clients. Keep client records with primary contact, email, phone, website, notes, and tags, linked to the projects and invoices that belong to them.
• Email templates. Save reusable templates for proposals and outreach so common messages take seconds.

Gmail outreach

Connect your own Google account and send client email from your real address, without leaving Zinx OS.

• Send from your address. Compose and send to your CRM contacts from the platform. The connection uses Google's send-only permission, so Zinx OS can send on your behalf but cannot read your mailbox.
• Logged to the timeline. Messages you send are recorded against the lead or client, so the conversation history stays in one place.

Chat

Real-time chat lives inside the workspace, scoped to the work.

• Channels per project. Link a channel to its project, so conversations stay attached to the work they are about.
• Direct messages. Message a teammate one to one.
• Rich messaging. Replies and threads, reactions, pins for the messages that matter, and mentions to pull someone in. You can also drop in a GIF or a stock image from the built-in pickers.

Calendar and events

Plan the work and the meetings around it.

• Events with detail. Create meetings, deadlines, and reminders with a description, location, links, and attendees.
• Recurrence. Repeat events daily, weekly, or monthly, with an end date.
• Reminders. Get in-app reminders before an event, so the meetings that matter never sneak up on you.

Files and Google Drive

Project files stay connected to the project, backed by your own Drive.

• Drive sync. Connect Google Drive and Zinx OS syncs the project files you create or upload. It uses Google's per-file permission, so the app only ever touches the folders and files it creates in your Drive, never the rest of your account.
• Organized by project. Files live where the work lives, with sync status visible so you always know what is current.

Roles and permissions

Access is granular, which matters the moment you bring clients into a workspace.

• Built-in roles. Owner, Admin, Moderator, Member, and Guest cover the common cases out of the box, and every plan can create custom roles (up to 50).
• Granular permissions. Grant or deny specific capabilities, and scope access down to individual projects or entities.
• Client guests. Invite a client as a guest scoped to just their project, so they see their work without seeing your internal pricing, team chat, or other clients.

Notifications

Stay on top of what changes without living in the app.

• In-app notifications. Mentions, replies, task assignments, invoice payments, event reminders, lead activity, and more, each with a link straight to the thing that changed.
• Web push. Opt in to browser push so you get notified even when the tab is closed.
• Email, by category. Email notifications are split into account and security (always on), product updates (on by default, one-click unsubscribe), and offers (off until you opt in), so you control exactly what lands in your inbox.

Plans

Every plan includes the full feature set above. Higher tiers raise the limits on seats, projects, and monthly invoice volume.

• Free. $0 for a single user with a few projects. Every feature is included.
• Pro. $19/month for 5 seats, with extra seats at $6/month.
• Business. $69/month for 15 seats, with extra seats at $4/month.
• Custom. For teams past the Business limits.

Annual billing is available at a discount, and you can change plans or seats at any time.

Security and privacy

The boring part that matters.

• In transit and at rest. TLS in transit and encryption at rest, with scoped access controls and short-lived session tokens.
• Your connected accounts. Google access tokens for Gmail and Drive are encrypted, and you can disconnect them at any time from your Google account or inside Zinx OS.
• Analytics on your terms. Product analytics and session replay are off by default and only run with your consent, with form inputs masked. We never sell your data or run advertising trackers.
• Your data is yours. Export invoices and timesheets, and delete your account whenever you want.

How it fits together

The point of Zinx OS is not any single feature, it is that they share one data model. A lead becomes a client. A client gets a project. The project's tasks accrue tracked time. That time becomes invoice line items. The whole conversation lives in the project's channel. Nothing is synced between apps because nothing is in a separate app.
